Batch management

Batches are mandatory in many industries: food, pharmaceuticals, cosmetics, chemicals, toys, medical devices. Anyone who cannot trace an order back to its batch has a compliance problem. Omneya's batch management is not an add-on but a fixed part of the platform, because for many merchants it is a matter of survival.

Batches from goods receipt

At every goods receipt the batch is recorded, automatically via GS1 barcode scan, by hand, or via EDI from the supplier. Per batch: delivery date, supplier, delivery note number, quantity, optionally the best-before date and special properties (temperature range, mandatory documents).

Stock held separately per batch

Article A-100 may have 500 units in stock, spread across batch 2024-08-A (200 units), batch 2024-09-B (200 units), batch 2024-10-C (100 units). Omneya keeps every batch separate in stock. Picking follows the strategy you choose:

• FIFO (first in, first out): oldest batch first
• FEFO (first expired, first out): with a best-before date, the shortest first
• LIFO (last in, first out): newest first (current-season fashion, for example)
• Manual: the picker chooses during picking

Traceability without gaps

Every order carries the batches that were shipped. When a complaint comes in you see it straight away: batch 2024-08-A went to 47 customers. In a recall you know within a second which orders are affected, and you can notify those customers by email, offer returns, ship replacements. The batch is visible in the customer account and on the delivery note (on the invoice as an option).

Recall workflow

Block a batch with one click: all open reservations stop, the stock can no longer be sold, not even through marketplaces, because Omneya pauses the listings automatically. A list of every order already shipped is generated, a recall email template can go out automatically, and the returns workflow for the affected orders is prepared.

Blocking batches ahead of time

An incoming delivery with suspicious properties? Block the batch at goods receipt, before it is ever sold: quarantine status. It is released only after clearance, a laboratory report for instance. Every block carries a reason, and every block and release lands in the audit trail.

Reporting for the authorities

When an authority asks (BVL, food inspection, EMA), you can export batch reports: which quantities came from which supplier at what time, and which orders did they go into? Omneya produces that as PDF, Excel or XML, ready to send. During an official inspection it saves days.

Several batches in one order

Sometimes one batch is not enough, and the order is spread across several. Omneya knows this case: an order line can cover several batches, split by availability. The delivery note documents transparently which batch was assigned to which line. If a complaint concerns one specific batch, the trail is complete.
