Stocktaking

A stocktake is mandatory. Excel lists with handwritten notes are not. Omneya turns the stocktake into an ordered process with clear responsibilities and documentation that holds up.

Two stocktaking modes

Period-end stocktaking: the classic count at the end of the financial year. You freeze the stock at the cut-off date, every sale and every goods receipt after that point is recorded separately. The teams count on the cut-off date, variances are resolved, the result is posted.

Perpetual stocktaking: Omneya schedules counting dates across the whole year, per article or per warehouse zone. Every article is counted at least once a year, A items more often. You do not have to shut down operations, the stocktake runs alongside.

Counting on a mobile device, without paper

Counters work with a smartphone, an industrial scanner or a tablet. They open the stocktaking app, scan the barcode or the storage location ID, enter the quantity counted, done. The data lands in the system in real time. Several counting teams work in parallel on different warehouse zones without getting in each other's way. Omneya coordinates who covers which zone.

Double counting and variance resolution

For valuable articles or uncertain stock levels you let two counting teams count independently of each other. If the results match, the value is accepted. If they differ, the article goes into variance resolution: a third counter or the warehouse manager recounts and decides. The decision is documented: who decided what, and when.

Variance report and automatic posting

Once the stocktake is closed, Omneya produces the variance report: per article the target stock according to the system, the actual stock according to the count, the difference in units and in value. You approve the report, Omneya posts the variances automatically to the inventory account and to the stocktaking variance account in accounting. Shrinkage, breakage and theft are shown separately.

Records that satisfy HGB and AO

The stocktaking record meets the requirements of the German commercial code (HGB) and the fiscal code (AO): date, location, counter, quantities counted, valuation, signatures. You can print it or sign it digitally. In a tax audit you hand over the record and the auditor sees a properly documented stocktake.

Valuation at purchase prices or current market prices

Omneya values the counted stock at historical purchase prices (acquisition cost), at a weighted average, at the lowest value (the strict lower of cost or market principle) or at current market prices (replacement cost). Omneya produces one valuation per method. You choose which one goes to accounting. The calculation is documented step by step, every value can be traced back to its source document.
